We are hiring for a Document ControlAdministrative Assistant
JH Kelly, LLC, a family-owned regional construction company in its 90thyear with offices in Vancouver and Longview, Washington, is seeking a qualified Document ControlAdministrative Assistant. This position will be located in Great Falls, Montana working with our construction team for theCalumet expansion project.The projectduration isAugust 2015.This positionis responsible for project document control,weekly payroll submission to Corporate office,assisting administration functions of job tracking and reports, subcontracts, change order logs,PO'sand invoices.
Requirements:
2 -3 years experience in anadministrative role.
Previous work experience inConstruction, Industrial, Trades or related field.
Accounting - Payroll processing background is a plus but not required.
Experience working with building drawings, plans, blueprints.
Primary Functions:
Set up project files and oversee document control and revisions.
Weekly payroll processing of timecard data to corporate office.
Work closely with project manager for administration functions of job tracking and reports, subcontracts, change order logs, PO's and invoices.
Assist with monthly cost reporting.
Disseminate office correspondence both incoming and outgoing, files, and payroll checks.
Maintain office supplies.
Knowledge, Skills and Abilities:
Ability to input data with a high degree of accuracy and attention to detail.
Proficiency of Office applications (Excel, Word, Outlook)
Good understanding working with PDF documents and use of editing and marking-up tools.
Understanding of construction drawings.
Ability to read the drawings for all disciplines and follow the continuations as identified.
Skills and ability to work collaboratively, effectively and professionally with managers, construction field workersandoffice personnel.
Ability to handle stressful situations courteously and professionally.
Ability to prioritize and manage multiple projects/tasks.
Excellent oral and written communication skills.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
